OFFICE: SECRETARY
TERM: 1 year (Appointed by the President)
DUTIES
- Is the Official Record Keeper of the Association during the term of the President who appointed him/her.
- Immediately following the Annual Conference prepares the State Directory of Executive Board Members and distributes copies to all Executive Board Members, including ample copies to the 1st Vice-President for his duties, copies to the Officers Association, the Adjutant General's office and the National Enlisted Association. Distribution of this list will be made no later than 30 days following the State Annual Conference. Position vacancies will be noted as such and added to the directory as filled.
- Prepares accurate copies of the minutes of all official Executive Board Meetings either formal or informal (e.g. conference calls, written correspondence, etc.). Maintains cassette tape recording of all official meetings. Categorized all tapes for permanent file of all Association transactions.
- Provides minutes of all meetings (typewritten and signed) to all Executive Committee Members, including a clear copy to the Publications Committee, no later than 7 days following the conclusion of such meetings.
- Provides a written call to meeting, including, but not limited to, date, time, location, purpose and agenda, no later than 30 days prior to such meeting.
- Establishes a viable filing system of all Association documentation that can be easily understood by the Historian so as to preserve the Heritage and Integrity of our Association for ensuing years.
- All official correspondence of the Secretary will be typewritten and signed. One copy of all secretaries' correspondence, together with one copy of all other Executive Board correspondence, will be forwarded to the Historian quarterly for proper documentation of our Association activities. The Secretary for reference purposes will maintain the remaining copy of our correspondence.
- All quarterly reports of the Secretary will be presented in sufficient copies of the Executive
Committee, insuring at least one clear copy is given to the Publications Chairman for reproduction and distribution to all units. All Annual Conference Secretary's reports will be presented to the Publication Committee al least 30 days prior to the conference. This will allow ample time for printing and shipping to conference site for inclusion in the registration packets.
GOALS:
The Secretary will provide the Executive Board a list of his/her goals for the term no later than the first Executive Board Quarterly Meeting following the Annual Conference.
